Officer Hub
Share documents with members
Keep officer files in Documents, share the ones members need, and add useful links in Member resources so members find them on the Local Portal.
- Who can do this
- The president and executive members. Stewards can keep files in Documents but cannot share them with members.
Officer files and member files live in two places. Documents is the officers' filing cabinet. Member resources decides what members see under Resources on the Local Portal. A file only reaches members when you choose to share it.
Store a file in Documents
- Open Documents from the Officer Hub menu.
- Press Upload document.
- Give it a title and a category, and add a description if it helps someone find it later.
- Under Who can open this document, choose who can see it. The choices are below.
- Choose the file and save.
- All active local officers and stewards: for working files, such as a steward quick reference.
- Only me and selected active local members: for anything sensitive, such as executive notes on a bargaining mandate. Use Manage access afterwards to add people.
Later you can Replace file with a new version (the Version history keeps the old ones), edit the details, or Archive a file nobody needs. View archived documents brings archived files back into view.
Share a file with members
The president and executive members can share a file that is open to all officers.
- Find the file in Documents.
- Press Share with members. The row then says it is shared.
- Members find it under Resources on the Local Portal.
To take it back, press Stop sharing. Restricted files cannot be shared with members.
Careful: Read the file once more before you share it. Members can download it, and you cannot take back a copy someone already saved.
Add links and choose what comes first
Member resources has three tabs.
- Shared files lists what you shared from Documents. Files are shared from Documents, not from here.
- Links adds a link to another website, such as your benefits booklet or your union's site. Enter the address (it must start with https), a title, a short description and a category, then press Add link.
- Pinned order sets which items members see first. Tick Pin to Together on up to six items, and use the move buttons to order them.
Pinned items also appear in the Resources and quick links card on Together, the first page members see.
Choose a category
Members can filter by category, so pick the one they would look under: Collective agreement, Bylaws and policies, Forms, Meeting materials, Benefits, Training, Union links or Other.
