Email a notice to members
Email a notice to members who have agreed to receive it. Check the counts with a dry run first, and stay inside the limits that keep mail delivered.
- Who can do this
- The president and executive members, once Site Admin has turned member broadcast on.
Member broadcast emails a local news notice to members who have said yes to receiving it. It is built to keep your local's mail out of spam folders, so it asks you to check before you send and limits how much you send.
Before you can send
- Site Admin and your union both have to turn member broadcast on. Until then, the page says Compose opens when broadcast is on.
- Only the president and executive members can send. Stewards and members see only their own consent choice.
- A member must confirm for themselves, with Confirm I want local broadcast email on the Member broadcast page. Accepting an invite is not consent, and an officer cannot confirm for someone else.
Tip: For a notice everyone should see, post it on the Hall Bulletin in the Local Portal as well. Members who have not opted in to email still see it there.
Choose who receives it
The Consent roster lists your local's members and their status: Confirmed, Withdrawn, Not set or Needs re-consent. Only confirmed members can be ticked.
- Press Select all confirmed, or tick people one by one.
- Check the count under the list. Use Clear selection to start again.
Needs re-consent means the consent notice changed since the member said yes. They have to confirm again before they receive anything.
Write and send
- Under Compose and send, enter the Subject and the Message. Say who the notice is from and what you want members to do.
- Press Dry run (preview counts). It checks how many people will receive the notice, whether you sent the same notice recently, and whether you are inside the sending limits. Nothing is sent.
- When the dry run passes, press Send to selected confirmed members.
- If your local uses an authenticator app, enter your code and press Confirm and send.
Recent sends shows what went out and to how many people.
The limits
The limits protect the site's ability to deliver mail for every local. By default:
- one send reaches at most 50 members;
- wait six hours between sends;
- the same subject and message cannot go out twice in a week;
- each officer, local and union has a daily cap.
If a send is refused, the message says which limit you reached and when you can try again.
Note: For a large mailing, such as a strike vote notice to every member, talk to Site Admin before you start. Member broadcast is for regular local news.
