Officer Hub
Track a grievance
Open a grievance file, follow the steps and deadlines from your collective agreement, and record the outcome when the file closes.
- Who can do this
- Stewards and officers in a local that uses Grievances.
Grievance Tracking keeps each grievance file in one place: the facts, the steps and their deadlines, meetings, notes, files and the outcome. Stewards see the files assigned to them. The president and executive see the local's files.
See your files and deadlines

The top of the page counts Open cases, Overdue files and Upcoming deadlines. Overdue files are listed first. Below them, All grievances has a search box and filters by status.
Tip: Overdue board gathers every late or nearly late step across your files on one page. Check it at the start of each week.
Open a new file
- Press New grievance.
- Choose the Workflow stage. Start at intake while you are still gathering facts. Intake files have no deadline yet.
- Choose the Grievance type: individual, group, or union and policy.
- Under Member pseudonym, use a label such as Member A rather than the member's name. Add the member number only if your local uses UnionOps Data. Never put a name, email or phone number there.
- Pick a Category, write the Issue summary, and set the Date filed.
- Fill in the Intake facts: who, what, when, where, why, witnesses, and the remedy the member wants.
- If your local has a CA library, tick the articles of the collective agreement you say were violated.
- Press Create grievance. The file opens.
Follow the steps
When the file is ready, press Advance to formal file. The CA step checklist shows the steps your union has set up and how many days each one allows. The deadline counts calendar days from the date filed.
- Choose a step in the checklist to move the file to it.
- Deadline ICS adds the deadline to your own calendar.
- Download formal form fills in the grievance form for printing or signing.
- On this page jumps to meetings, notes, files and the rest.
Careful: Check the time limits in your own collective agreement. The days shown come from your union's settings and may not match every article.
Keep the record
- Notes: write what happened at each meeting. Notes cannot be edited after you save them, so the record stays honest.
- Files: press Upload file for letters, schedules or replies. A new file may show Scan pending for a moment while it is checked.
- Export bundle (ZIP) gathers the whole file when you hand it to a staff representative.
Keep the member informed
If your local uses the Local Portal, you can show the member how their grievance is going without sharing your notes.
- Under member updates, write a short update in plain language and press Publish update.
- To share a file, such as the employer's reply, press Share with member beside it.
Only what you publish and the files you share appear in the member's Local Portal. Keep strategy and settlement terms out. Access and privacy controls which officers can open the file.
Close the file
When the grievance is settled, decided or withdrawn, fill in Arbitration / settlement outcome and press Record outcome. If there is an appeal period, the deadline appears below. Then press Mark resolved.
Note: This is a tracking aid, not legal advice. When in doubt about a deadline or a settlement, ask your staff representative.
